VTC Events
Section titled “VTC Events”TrucklineMP events let VTCs schedule convoys, manage RSVPs, assign slots, and track attendance. Members and the public can discover events on the global calendar or on each VTC profile.
Where events live

Creating an event (VTC staff)
Section titled “Creating an event (VTC staff)”- Open your VTC Manage panel
- Go to Events
- Click Create Event (or use
/vtc/@handle/manage/events/create) - Fill in event details and publish
Typical fields include:
- Title and description
- Start and end time
- Server (game server or realm)
- Departure and arrival locations
- Category (for example convoy, race, meetup)
- Banner image (HTTPS URL)
- Max attendees (optional capacity limit)
- Visibility (who can see and RSVP)
Staff need the appropriate events permissions in your VTC role. See Roles & Permissions.
RSVPs and attendance
Section titled “RSVPs and attendance”Members and eligible users can RSVP from the event page.
RSVP statuses
Section titled “RSVP statuses”| Status | Meaning |

| Going | Confirmed attendance |
| Unsure | Interested but not committed |
| Not going | Declined |
When max attendees is set and the going list is full, new going RSVPs are flagged as waitlisted automatically until a spot opens up.
Check-in
Section titled “Check-in”Event managers can check in attendees at event time. Self check-in may be available depending on event settings.
Approval flow
Section titled “Approval flow”Some events require staff to approve RSVPs before a user is marked as going.
Event slots
Section titled “Event slots”Slots let you assign roles or positions within an event (for example lead truck, tail, photographer).
Managers with slot permissions can:
- Create slots with labels and roles
- Set max occupants per slot
- Assign attending members to slots
- Reorder slots
Only users who are attending the event can be assigned to slots.
Co-hosts and multi-VTC events
Section titled “Co-hosts and multi-VTC events”Events can involve multiple VTCs. Co-host VTCs appear on the event page. VTC-level attendance tracking records which companies are participating.
Managing an active event
Section titled “Managing an active event”Staff with events.manage (or equivalent) permissions can:
- Edit event details before start
- Cancel the event (notifies attendees)
- Broadcast a message to RSVPs
- View and export the attendee list
- Manage event bans (block specific users from this event)
- Add internal member notes for event staff
Cancelled events remain visible with a cancelled status where configured.
Global events page
Section titled “Global events page”trucklinemp.com/events lists upcoming public events across the platform. Users can filter and open any event they have access to.
Authenticated users can also create events from the global flow when permitted.
Announcements integration
Section titled “Announcements integration”When VTC Announcements webhooks are configured, event lifecycle changes (created, updated, cancelled, RSVP) can post to your Discord server automatically.
Permissions reference
Section titled “Permissions reference”Event-related VTC permissions are grouped under events in the role editor. Common slugs include creating events, managing attendance, managing slots, and viewing staff-only event data. Owners always have full access.
Troubleshooting

Section titled “”I cannot create an event””Confirm your role includes event creation permission and that the VTC Events platform module is enabled.
RSVP stuck on waitlist
Section titled “RSVP stuck on waitlist”The event may be at capacity. A manager can free a going spot or raise max attendees.
Event not on the global calendar
Section titled “Event not on the global calendar”Check event visibility settings. Private or VTC-only events may not appear publicly.
